Client Indianapolis-based firm comprised of two distinct companies which provide quality electronic products and industrial repair services to customers across the United States, Canada, Europe, and Asia Pacific.
Challenge The engineering department was focusing on fifteen to twenty projects at any given time across multiple continents while trying to maintain accurate development and production schedules. The company did not have formal processes for tracking project tasks and assessing how projects progressed against budgets and schedules. Status was tracked manually through spreadsheets and the company did not have mechanisms in place to measure or monitor its active projects. The firm needed a project management system that would enable management to enforce processes, allowing teams to monitor development efforts and make individuals accountable for the timely completion of project tasks.
Solution Working with members from each department, digitalKnowledge completed an in-depth assessment to gain a detailed understanding of the company’s business operations, internal product development lifecycle, key processes, and existing methods for tracking and communicating project tasks.  Using the findings from the assessment, the final solution included the implementation and customization of Microsoft Project Server, Project Web Access, and the integration with the existing instance of Microsoft Project Professional. The combination of these tools would not only allow project managers to store the entire portfolio of project plans across the organization, but would also enable teams to perform “what-if” scenarios and drill deeper into active projects to determine root causes of delays or other resource issues.
Results The resulting solution provides users with a web-based, enterprise-wide project management system to consistently store and track project data as well as resource information. One of the biggest benefits to the management team is the ability to anticipate future issues and develop contingency plans. Visibility across projects has allowed project managers to monitor progress more effectively and provide management with accurate target dates. The company has begun to meet important production and marketing deadlines and communication across project teams and departments has improved.
